Job Description:

We are seeking a dynamic and highly organized individual to join our team as an Executive Assistant to the CEO and President. In addition to traditional EA responsibilities, this role will also serve as a key liaison between the executive office and various departments within the company.

Founded in 2011, The Red Pen (TRP) is an independent education consulting company that helps applicants plan their education at the school, college or postgraduate level and also assists institutions to develop student-focused counseling infrastructure.

TRP’s one-on-one consulting, informational programming (virtual and in-person) and thought leadership is designed to transform access to quality education, broaden perspectives and optimize potential across the learning eco-system. Our counselors support applicants as they navigate the complex higher education landscape by advising on admission strategies, application components, and country and college selection.

Primary Responsibilities:

1. Executive Support:
    ● Manage and maintain the CEO and President’s busy schedules, including calendar management, meeting coordination, and travel arrangements.
    ● Act as a gatekeeper, screening and prioritizing emails, calls, and other correspondence.
    ● Prepare reports, presentations, and briefing materials for internal and external meetings.
    ● Handle confidential information with discretion and professionalism.

2. Strategic Support:
    ● Assist in the execution of strategic initiatives by coordinating cross-functional teams and ensuring alignment with company objectives.
    ● Conduct research and provide analysis on industry trends, market developments, and competitive landscape to inform decision-making.
    ● Help drive special projects and initiatives as directed by the CEO and President.

3. Communications:
    ● Serve as a point of contact for internal and external stakeholders, representing the CEO and President professionally and effectively.
    ● Draft and edit correspondence, speeches, and other communications materials on behalf of the executive office.
    ● Facilitate effective communication flow between the CEO and President and key stakeholders within the organization.

4. Operational Support:
    ● Streamline administrative processes and implement best practices to optimize efficiency within the executive office.
    ● Coordinate with other members of the administrative team to ensure seamless operations across the organization.
    ● Anticipate needs and proactively address issues to enable the CEO and President to focus on strategic priorities.

Qualifications:

    ● Bachelor’s degree in business administration, communications, or related field preferred.
    ● Proven experience as an executive assistant or similar role supporting C-level executives.
    ● Strong organizational and multitasking skills, with the ability to prioritize tasks in a fast-paced environment.
    ● Excellent written and verbal communication skills, with a keen eye for detail.
    ● Discretion and integrity when handling sensitive information.
    ● Proficiency in Microsoft Office suite and other relevant software applications.

Background

AN aimed for an MS in Marketing in the US and the UK. The applicant was prompt in balancing the WES evaluation and other application components. However, while brainstorming the SOP we encountered a challenge. The applicant lacked sufficient work experience, which is gained through internships. They only had a two-month marketing internship in a finance company. However, as an undergraduate, the applicant was editor-in-chief of the college magazine, co-authored academic papers and hosted an Instagram series on mental health, diversity, and the LGBTQ+ community.

Approach

While storyboarding, we strategically guided the applicant to match their academic endeavours with their desire to become an inclusive impact marketer. As an editor, writer and social media content creator for diversity and inclusivity, AN developed excellent communication skills, an understanding of different people, and concise and compelling storytelling abilities. We advised the applicant to position themself as a collaborative marketing person who understood diverse needs, has problem-solving skills and was familiar with contemporary communication platforms.
